Responsibilities

Job Objective: To support the HR Director in maintaining an uninterrupted learning environment for AISD students and staff through effective implementation of day-to-day HR functions, while contributing to the continuous development and support of all professional and administrative personnel.Reports to and is evaluated by: Human Resource DirectorEmployment Arrangements: Local Support Staff ContractJob OverviewSubstitute Management
Daily support in acquiring substitute teachers, library assistants, teaching assistants, office managers, and nurses as and when required
Maintain attendance/signing sheet of substitutes
Prepare daily staff absence reports
Send out the Substitute list on a daily basis
Update the Substitute list on a regular basis
Prepare and provide substitute monthly payroll information to the Business Office
Leave Management
Process leave applications and ensure accuracy and completeness of leave requests
Administer Leave Applications and maintain an up-to-date online and paper leave process
Maintain accurate and up-to-date records of employee leave balances
Coordinate with supervisors to ensure adequate coverage for employees on leave
Provide guidance and support to employees regarding leave entitlements, eligibility requirements, and the leave application process
Handle requests for leave adjustments, extensions, or cancellations in a timely and efficient manner
Collaborate with the Business Office to ensure accurate processing of leave-related transactions
Maintain confidentiality and handle sensitive leave-related information with discretion
Payroll Administration
Process payroll for substitute staff, Proctors, After School bus duty roster, Weekend Playground Supervisors and
Swimming Pool Supervisors
Collaborate with the Business Office to ensure accurate processing of payroll
Insurance and Medical Support
Liaise with the Health office in support of their responsibilities for local staff.
Serve as referral point for Local Insurance Company - Local Insurance sign-ups (inclusion and deletion).
Recruitment and Onboarding
Responsible for posting job adverts (local staff), initial candidate reviews and related tasks
Facilitate the recruitment and selection process, including job postings, CVs shortlisting, candidate screening, setting up interviews, interviewing and selection.
Recruitment and onboarding of substitute teachers and teaching assistants, including detailed reference
checking.
Maintain accurate and up-to-date employee records and HR databases
Cross checking local and expat contracts with HR Director
Administrative Functions
First point of contact in relation to Govt. holidays, Campus closures, etc.
Retirement planning, notification and coordination with local staff
Prepare No Objection Certificate (NOC) for staff
Assist departing staff with Police Clearance Checks for outgoing teachers
Administration of the Support Staff Education Fund
Arrange English classes for local support staff
Update staff information in Powerschool
Maintain all staff databases and update personnel data such as staff list and birthday list
Assist with duties such as filing/collating/photocopying of documents
Perform routine office tasks necessary for the operation and presentation of a professional office
Handle HR-related queries, ensure smooth HR operations and a positive employee experience
Provide HR support and guidance to management and employees on various HR-related issues
Event Support
Assist with events: Staff picnic, Family Day, New Teacher Orientation
Support other relevant duties as assigned by the Human Resource Director
