Job Context:The Assistant - HR will be responsible for implementing and ensuring the file management, staff leave management, following the standard HR procedure and project support functions under the supervision and guidance of the Manager – HR. This role entails providing efficient HR support to the project team by managing various organizational and communication tasks. The Assistant - HR will handle sensitive and confidential documents with professionalism and ensure timely execution of tasks. Additionally, the role requires maintaining a strong collaborative relationship with the project team and partners CBOs to support smooth operations and achieve organizational goals.Responsibilities:
Process recruitment, promotions, transfer and termination or dismiss with the concern of Executive Director as per organizational policy.
Organize and facilities the holding of interviews and selection of recruitment, coordinate issuance of appointment letter.
Maintain all personnel file in a way that they are complete, up to date and maintain confidentiality.
Maintain & monitor the record of attendance of personnel·
Maintain Leave Management records·
Ensure timely completion of annual performance appraisal with the consultation of management as per policy.
Prepare & Finalize the HRD plan for the staff of the project with the assistance of line manager and consultation of top management.
Gather information relating to personal complains and grievances.
Manage and facilitate investigative procedures and other disciplinary procedures.
Regular visit to Field Offices as per work plan and supervise overall HR related jobs at field level.
Effect transfer of staff as and when required.
Maintain record of all staff, regular and contractual and update the records on monthly basis and when needed, prepare consolidated monthly staff information report.
Ensure timely issuance/renewal of contractual staff with consultation with Executive Director.
Organize systems in the office to guide against abuse of office facilities.
Ensure maintenance of a database of all past and present staffs.
Manage, evaluate, and assess the performance of subordinates.
Provide general assistance to all staff regarding postage, communication and others as per requirement.
Ensure timely opening and locking of the Office before and after the office hour.
Keep record / registers of the letters properly.
Be an office aid and move documents to various field offices/CBOs within and outside office premises.
