Professional in English & Foreign principal & Supplier Communication.
Should be energetic, proactive, dynamic and hard working.
Prepare customer offers and bids, submit them, and track their progress. Follow up on submitted offers.
Collect prices from suppliers and manage local and foreign procurement activities.
Handle import and export operations, including preparing indents, proforma invoices, LC drafts, final LC copies, and liaising with foreign suppliers and customers.
Manage documentation such as H.S codes, invoices, packing lists, B/Ls, and shipping documents.
Ensure online booking and documentation for export/import shipments.
Coordinate with customs, banks, and C&F agents for orders and shipping requirements.
Monitor and track Bill of Lading (B/L) and Airway Bills, checking shipment statuses.
Communicate with suppliers, foreign principals, and customers to ensure timely delivery.
Provide technical/project documentation support.
Prepare bills, challans, schedule deliveries, arrange VAT, AIT, etc.
Send scanned copies of invoices and delivery notes to customers. Follow up on receivables and expedite overdue payments.
Journal Entries & GL Management: Record and analyze journal entries; maintain the General Ledger (GL) to ensure accuracy in ERP software.
VAT, Tax, and AIT Management: Ensure compliance with VAT, Income Tax, and Advance Income Tax (AIT) regulations; prepare and file tax returns as required.
Bill Preparation: Prepare and process bills and invoices for clients and suppliers in a timely manner.
Accounts Receivable & Payable: Monitor and manage accounts receivable and payable; perform reconciliations to ensure accuracy and resolve discrepancies.
Audit Support: Collaborate with various auditors during financial audits and provide necessary documentation and information.
Documentation: Maintain organized and accurate financial documentation for all transactions and processes, timely Maintenance of Bills, Vouchers, Deeds, Documents, Ledgers etc. including proper Record Keeping System.
Other Tasks: Undertake any other tasks as assigned by management to support the overall functioning of the company.
