Preferred Bachelor in HR, Administration, or Tourism with studies in Hotel or Event Management
Experience
Minimum one year of experience in administrative roles, preferably in an international Organization or humanitarian context or event management experience.
Experience in similar transit-related position is ideal
Language
Fluency in English and Bangla is essential
Knowledge
Proficiency in using office tools and software, including Excel and database management systems is required
Responsibilities
:
• Follow-up with ISSO related to the visa status of the newly matched international mobile staff• Coordinate with the IST PAM (expat) for visa renewals, documents, etc.• Liaise with ISSO (International Staff Support Officer) to arrange start of assignment and the end of assignment process, including new arrival information form, international flight booking and briefing location/accommodation, etc• Organize start of assignment and end of assignment (de)briefings in coordination as much in advance as possible. Provide Admin Transit briefing for all new IMS arrivals.• Organizing visa run and visa overstay arrangements for international mobile staff (IMS), including arranging travel and accommodation, and communicating arrangements with international staff as required based on visa expiry status.• Provide suggestions and advice on international staff's holiday requests in line with one's visa status in the country.• Manage domestic flight bookings for both international & national staff going on meetings, holidays, training, etc.• Responsible for Movement Planning Tool for coordination staff and visitors.• Maintain and update the country program contact list on time.• Maintain and update appropriately the table for all IMS with visa runs, holidays, start/end of assignment accessible online to the country management team, ensuring updates are made on a weekly basis or as significant changes occur to ensure timely and accurate information.• Tracking of guesthouse accommodation and room assignment management, including coordinating with facilities management for guesthouse maintenance or issues. Prepare weekend overview of staff accommodated in guesthouse and send to management team.• Organize transit phones for visitors and new IMS.• Updating HR boards with the latest relevant transit-related information. • Inform project HR regarding incoming visitors and new staff.• Support general administrative tasks and project HR management when required by the manager.• Plan and identify innovative and efficient ways to organize domestic travel. • Cover for absent coordination team members responsibilities, starting with HRCo Assistant, as and when required.
